Under direct supervision, the AP Vendor  Specialist is responsible for managing and maintaining accurate vendor information within the Accounts Payable system. Ensures compliance with company policies and regulatory requirements, supports onboarding of new vendors, updates existing vendor records, and plays a key role in preventing payment delays and fraud. 

Essential Duties and Responsibilities

• Review, enter, and maintain accurate vendor data in the AP system, including banking details, tax information, and contact data.
• Ensure all vendor onboarding documentation (e.g., W-9s, banking forms) is complete, accurate, and stored in compliance with internal policies.
• Collaborate with Procurement, Treasury, and Compliance teams to validate vendor information and prevent duplicate entries.
• Conduct periodic audits of vendor master data to ensure ongoing accuracy and integrity.
• Support compliance with adhering to best practices, internal controls, and audit requirements by documenting processes and maintaining a clean vendor master file.
• Assist in resolving vendor data-related inquiries and issues in a timely manner.
• Work closely with IT and system administrators to support data integrity initiatives.
• Participate in special projects and continuous improvement efforts related to vendor data and accounts payable operations.
• Ensure proper and authenticated vendors are onboarded and maintained.
• Complete requests for vendor master data in a timely and accurate manner with strict adherence to fraud prevention best practices.
• Other duties as assigned.

Qualifications

• This position requires a minimum of 1 years’ experience as a vendor master data specialist.
• Experience with vendor setup, tax compliance (e.g., W-9, 1099), and banking information requirements is preferred.
• Experience with ERP systems such as SAP, Oracle, or Workday is preferred.
• Excellent time management and prioritization skills are required.
• Strong written and verbal communication skills.

Educational Requirements

High school diploma or equivalent required. Certification in vendor set-up or fraud prevention practices is preferred.

Work Days

Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.

Work Hours

Normal work hours are 8:00 a.m. to 5:00 p.m. Additional hours may be necessary.
