Under general supervision, the Fleet Billing Specialist II performs billing analysis and provides administrative support to the Company's Fleet Executives, and/or Departments.  The role provides attentive support for internal and external parties including information verification, data entry, bill generation, for internal and external parties  and ensures consistent, efficient operations of the billing process

 

Essential Duties and Responsibilities:

  • Invoicing 3rd party products and services.
  • Coordinates and submits Requests for Pricing as needed.
  • Administrative work and support for Fleet Management Companies.
  • Create, maintain, and submit mobile/subscription reports and documents.
  • Invoicing mobile service inspections.
  • Analyze and assess margin opportunities, as well as gross margin dollar book of business for performance goals.
  • Manage large order inquiries from stores and/or Account Managers.
  • Assist with mobile non-unit inventory order management.
  • Manages email and calendars, using discretion and judgment to determine priorities.
  • Creates and maintains lists, files and databases to enhance efficiency and productivity.
  • Prepares, edits and formats presentations, proposals, reports and/or materials for meetings.
  • Works with associates in other departments to gather data and trend information.
  • Works cross-functionally with other teams within the company and external vendors to ensure efficient workflow and handling of internal projects and requests in a timely manner.
  • Identifies opportunities to improve work processes/flow to leverage own and department’s workload.
  • Represents the Company values professionally in the community and at public or Company gatherings and assists management with professional requests.
  • Keeps abreast of internal administrative policies, practices and guidelines.
  • Maintains information that may be sensitive or confidential in nature.
  • Cultivates strong and effective customer and vendor relationships.
  • Performs tasks including data entry, filing, photocopying, scanning etc.
  • Organizes filing system and file documents as needed.
  • Performs additional responsibilities and special projects as assigned.

Job Requirements

Qualifications:

  • This position requires a minimum of three years of experience in an office environment.
  • Proficiency in Microsoft Office Suite programs with the ability to learn and adapt to new programs and processes is required.
  • Must be able to demonstrate an understanding of manager's needs, preferences and schedules in order to provide support. Must be proactive with an ability to anticipate needs.
  • Ability to multitask with ease and prioritize incoming requests appropriately while remaining flexible to the many changes that could occur during a day is essential.
  • Ability to grasp a high-level overview of organization in order to make confident decisions regarding operations is necessary.
  • Excellent verbal and written communication, collaboration, organizational, and time management skills required.
  • Incredibly detail-oriented with strong problem-solving skills are also necessary.
  • Must be able to uphold a high standard of integrity and discretion and tactfully handle high-level confidential matters.
  • Ability to work efficiently under pressure in a fast-paced, deadline-driven environment, sometimes with minimal guidance is needed.
  • Must be willing to accept and embrace change in a fast-paced environment and be willing to learn and grow.

Educational Requirements:

This position requires a high school diploma or GED.  Additional college level administrative, computer or business-related classes are beneficial.

 

Work Days:

Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.

 

Work Hours:

Normal work hours are 8:00 a.m. to 5:00 p.m. Additional hours may be necessary.
