Under general supervision, the Real Estate Property Mgmt Specialist II performs Property Management and Lease Administration for Real Estate Team; also provides support in at least one other area of Real Estate administration such as Common Area Maintenance (CAM), insurance, property tax.


Essential Duties and Responsibilities:

  • Maintains accurate property data and performs lease abstracting for leases, amendments and Covenants, Conditions and Restrictions (CC&Rs) in Real Estate Management Software (REMS) and other databases; generates and validates transaction reporting for stakeholders.
  • Calculates and monitors critical lease dates; processes renewal options, lease extensions and purchase options; solicits feedback on strategy, current property conditions, collaborates with outside brokers on current market rates and economic conditions; provides recommendations to stakeholders.  
  • Examines landlord Estoppel Certificates & Subordination, Non-Disturbance and Attornment Agreements (SNDA's) for accuracy; solicits feedback from stakeholders and sends to Legal for execution.
  • Drafts basic amendments, licenses, and lease termination agreements; submits to management and Legal for review and approval. Communicates timely responses to landlord/ property management.
  • Administers income leases; verifies the subtenant adheres to compliance with contract terms and conditions; collaborates with Real Estate Accounting team to track rent income; prepares default communications.
  • Maintains current vendor & landlord contact info in Real Estate Management System (REMS) and financial system; obtains proper documentation for vendor changes.
  • Collaborates with Construction Team to identify tenant improvement/ construction allowances, construction deposits, reimbursements and other miscellaneous receivables due for various properties; notifies Landlord of outstanding receivables owed and obtains payment(s) to satisfy obligations.
  • Provides guidance/ recommendations to stakeholders in responding to government violation warnings.
  • Researches property maintenance requests for internal Facility Managers; prepares correspondence to landlord and management companies regarding necessary repairs and maintenance items in compliance with lease terms & governing documents.  Analyzes CAM obligations in collaboration with CAM Specialists.
  • Resolves moderately complex property management issues.
  • Ensures property and liability insurance coverage complies with lease and corporate standards; obtains updated insurance certificates and provides proof of insurance.
  • Interprets language in lease clauses and other governing documents such as Covenant, Conditions and Restrictions (CC&Rs), Reciprocal Easement Agreements (REAs); escalates to management if necessary.
  • Stays current on the latest industry technologies, trends, and strategies.
  • Assists employees, vendors or other customers by answering questions related to Real Estate management processes, procedures and services.
  • Completes work in a timely and accurate manner while providing exceptional customer service.
  • Other duties as assigned.

Job Requirements


  • This position requires minimum of three years Lease Administration or Commercial Property Management experience.
  • Lease accounting or commercial property management experience required.
  • Knowledge of CAM expense & Real Estate Property tax administration is required.
  • Proficiency in Real Estate Management software required. SAP experience preferred.
  • Must demonstrate strong attention to detail.
  • Strong analytical skills with the ability to collect, organize, analyze and disseminate information with attention to detail and accuracy.
  • Proficient with Microsoft Office, including skills with Word and Excel, are necessary.
  • This position requires excellent verbal and written communication, interpersonal and customer service skills, including the ability to write in a clear and concise manner; present complex ideas clearly.
  • Demonstrated ability to build professional relationships with vendors/ customers and cross functional teams.
  • The ability to work efficiently and accurately under pressure, meet deadlines, present a professional demeanor and work well independently is essential.
  • Customer service skills including the ability to manage and respond to different customer situations while maintaining a positive and friendly attitude is essential.
  • Collaboration, facilitation and negotiation skills are required. In addition, troubleshooting organizational and problem-solving skills with a can-do attitude and the ability to adjust to changing requirements are essential.

Education Requirements

This position requires an Associate degree or equivalent experience. Additional college level Real Estate or business-related classes are beneficial.


Work Days

Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.


Work Hours

Normal work hours are 8:00 a.m. to 5:00 p.m. Occasional overtime (more than forty hours per week) may be necessary.
