Under direct supervision, provides clerical and administrative support to Recruiters and Hiring Managers.

 

Essential Duties and Responsibilities:

  • Tracks additions to headcount, replacement positions, staff augmentation, statements of work (SOW) and contract job requisition from the request to approval stage.
  • Records current open positions including but not limited to contract to hire, replacements, and new positions. Reports to Management as needed
  • Composes and presents job postings to Recruiter and Hiring Manager for approval.
  • Posts positions; researches best places to post positions (i.e., major job boards and niche sites); recommends posting opportunities to Recruiters.
  • Assists the Recruiters in developing general screening questions, interview questions and score cards
  • Screens candidates for entry level positions, including but not limited to, reviewing resumes and conducting telephone interviews.
  • Schedules interviews with candidates, including but not limited to, manager telephone interviews and in-person interviews.
  • Coordinates schedules and meeting rooms for in-person interviews.
  • Coordinates travel, lodging and ground transportation for out-of-town candidates
  • Prepares expense reports as needed.
  • Creates, manipulates and reports on all Recruiting metrics on a weekly, monthly, quarterly and annual basis to Management and Executives.
  • Maintains and updates recruiting documents, including, but not limited to, offer letter templates, recruitment communications and posting templates.
  • Creates offer letters.
  • Coordinates background check information; ensures process is complete before a candidate begins employment.
  • Reviews background checks; forwards issues to responsible Recruiter.
  • Maintains knowledge of legal requirements and regulations affecting recruiting.
  • Coordinates reference checks.
  • Participates in recruiting tool and agency evaluations.
  • Coordinates Employee Referral program.
  • Coordinates all Contract and Temporary workers onsite, offsite and offshore. On-boards and Off-boards these workers.
  • Conducts Contract Orientation and a building tour for some Contract and Temporary workers.
  • Prepares and submits timecards for contractors.
  • Prepares and submits invoices including but not limited to recruiting vendors, staffing agencies, office supplies and job boards.
  • Stays current on the latest industry technologies, trends, and strategies.
  • Assists employees, vendors or other customers by answering questions related to the recruiting processes.
  • Completes work in a timely and accurate manner while providing exceptional customer service.
  • Other duties as assigned.

Job Requirements

Qualifications:

  • This position requires a minimum of one year human resources or administrative experience.
  • Ability to provide candidate assessments is necessary.
  • Must have a strong drive for results, critical thinking and be teamwork focused.
  • Collaboration and relationship / rapport building skills are required.
  • Proficiency with Microsoft office, including skills with Word and Excel is necessary.
  • The ability to work efficiently under pressure, accurately meet deadlines, present a professional demeanor and work well independently is essential.
  • This position requires excellent communication and interpersonal skills.
  • Customer service skills including the ability to manage and respond to different customer situations while maintaining a positive and friendly attitude is essential.
  • In addition, troubleshooting, organizational and problem solving skills with a can-do attitude and the ability to adjust to changing requirements are essential.
  • Maintaining confidentiality, treating others with respect and upholding Company values is key.

 

Educational Requirements:

This position requires a high school diploma or GED. Additional college level Business or Human Resources related classes are beneficial.

 

Work Days:

Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.

 

Work Hours:

Normal work hours are 8:00 a.m. to 5:00 p.m. Occasional overtime (more than forty hours per week) may be necessary.
