Under general supervision, following pre-established guidelines provides administrative support to the corporate office.



  • Operates the organization's telecommunication system to answer and route incoming calls; evaluates and resolves escalated issues
  • Analyzes electronic invoices, statements and notices; determines proper routing; contacts vendors for compliance and verification
  • Compiles hard copy documents and prepares batches containing various departmental paperwork; contacts vendors for compliance and verification
  • Identifies complex original time sensitive documents; determines how the document should be indexed; troubleshoots non-standard documents
  • Examines, prioritizes, calculates time estimates, processes and completes copy job orders
  • Ensures copy center equipment is running at optimum levels
  • Collaborates with internal customers to create and design copy jobs that meet expectations
  • Participates in the set up and break down of corporate events; administers event related giveaways, tracks progress and provides feedback.
  • Collaborates with employees, vendors and customers by answering questions related to department procedures and services; identifies and recommends solutions.
  • Creates outgoing and incoming events communication; researches and writes fliers and emails
  • Develops, evaluates and implements best practices
  • Facilitates departmental meetings for Scanning & Indexing, Switchboard, Archive, Copy Center, completes agenda, chairs meeting process
  • Completes work in a timely and accurate manner while providing exceptional customer service; recommends solutions
  • Examines and verifies departmental inventories and orders supplies to balance par levels; locates cost effective new supplies
  • Modifies desk directories, on-call list, reference guides and other associated reference materials
  • Trains Corporate Services Clerks; provides specific feedback; facilitates and engages in problem solving
  • Stays current on the latest industry technologies, trends and strategies
  • Other duties as assigned

Job Requirements


  • This position requires a minimum of three years general office experience, including but not limited to, switchboard, data entry, copy center and archiving experience.
  • Proficient with Adobe and Intermediate skills with Microsoft Office, Word, Excel and PowerPoint, is necessary.
  • Experience operating copy equipment, faxes and scanning equipment is required.
  • Basic understanding of photo archiving is necessary; Photoshop knowledge preferred.
  • This position also requires excellent communication, interpersonal and customer service skills.
  • Ability to communicate clearly and articulately both verbally and in writing is necessary.
  • Proven ability to set up and manage calendars is needed.
  • Ability to work independently and in a team is vital.
  • The ability to work efficiently and accurately under pressure, meet deadlines, while moving from one task to another fluidly while presenting a professional demeanor is necessary.
  • In addition, troubleshooting and organizational skills with a can-do attitude and the ability to adjust to changing requirements are essential.
  • Maintaining confidentiality, treating others with respect and upholding Company values are key attributes.


Educational Requirements:

This position requires a high school diploma or GED.
